This is a plain-English draft written to cover how this site and our booking process actually work. It hasn't been reviewed by a solicitor. Please read it through and get it properly checked before relying on it.

Reloop ("we", "us", "our") is a creative and paid ads agency based in Northern Ireland. This policy explains what personal data we collect through reloopmedia.com, why we collect it, and what rights you have over it.

Who we are

Reloop is operated by Hugh Ward and Molly Ward. You can contact us about anything in this policy at hugh.ward@reloopmedia.com.

What we collect

When you fill in a form, book a call, or get in touch, we may collect:

Your name, email address and phone number.
Details about your business you share with us, such as your website, approximate online revenue, ad spend history or the challenges you're facing.
Technical information collected automatically when you visit the site, such as pages viewed, device/browser type and how you arrived at the site, via cookies and similar technologies (see the cookies section below).

How we use it

We use your information to:

Respond to your enquiry and run the strategy call you've booked.
Deliver our services if you become a client, and communicate with you about that work.
Send you relevant follow-up emails about Reloop, which you can unsubscribe from at any time.
Measure and improve how our ads and website perform.
Meet our legal and accounting obligations.

Who we share it with

We don't sell your data. We do use a small number of other companies to run the business and this website, who process data on our behalf:

Systeme.io, which hosts this website, our booking calendar and our email sends.
Google (Google Ads, Google Analytics, Google Calendar/Meet) and Meta (Meta Ads), for advertising, measuring campaign performance, and running your booked call.

These providers may process data outside the UK/EEA; where they do, they're required to have appropriate safeguards in place (such as the UK's International Data Transfer Addendum or equivalent standard contractual clauses).

Cookies

This site uses cookies and similar technologies from Google and Meta to measure ad performance and understand how visitors use the site. You can control or delete cookies through your browser settings at any time.

How long we keep it

If you book a call but don't become a client, we'll keep your details for a reasonable period in case you get back in touch, then delete them. If you become a client, we keep your data for as long as we're working together and for as long afterwards as we're legally required to (for example, for accounting purposes).

Your rights

Under UK data protection law, you have the right to:

Ask what personal data we hold about you and get a copy of it.
Ask us to correct inaccurate data.
Ask us to delete your data, or restrict or object to how we use it.
Withdraw consent at any time, where we're relying on consent (for example, marketing emails).

To exercise any of these rights, email hugh.ward@reloopmedia.com. If you're not happy with how we've handled your data, you can also complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
